What we collect, and why
We only collect what we need for the job in front of us. This is everything our forms ask for.
Transport & storage enquiry forms
book.finerfleet.com
- Name, email address and phone number
- Collection and delivery addresses, and any additional stops
- Dates, times and flight numbers where a journey involves an airport
- Passenger numbers, luggage and child seats, for passenger work
- Vehicle details and storage requirements
- Anything written in the notes box
Why: To quote for the work you've asked about, and to carry it out if you go ahead.
Our lawful basis: Steps taken at your request before entering a contract, and our legitimate interest in responding to enquiries.
Driver application form
careers.finerfleet.com
- Name, email address, phone number, home address and postcode
- Date of birth
- National Insurance number
- Driving licence number and DVLA check code
- Driving experience, and whether you can park a long-wheelbase vehicle
- A declaration about unspent serious motoring convictions
- Your CV, photographs of your licence, and photographs of your parking space
- The names, relationships, phone numbers and email addresses of two referees
Why: To assess your application to drive for us, to check you're entitled to drive and to work, and to contact your referees.
Our lawful basis: Steps taken at your request before entering a contract, and our legitimate interest in recruiting drivers we can lawfully put on the road.
The conviction declaration is criminal offence data under Article 10. We collect it only because we must know whether you can lawfully and insurably drive for us, we don't ask for spent convictions, and it's visible only to the people handling recruitment.
Driver portal
remittance.finerfleet.com
- Your email address, used to send you a one-time sign-in link
- The jobs recorded against your name, and what you're due to be paid
Why: To let you sign in and see your own work and pay.
Our lawful basis: Performance of our contract with you.
Invoice payment page
pay.finerfleet.com
- The invoice reference and amount
- Card details, which go straight to Stripe — they never reach our systems
Why: To take payment for an invoice.
Our lawful basis: Performance of our contract with you.
If you've been named as a referee
Someone applying to drive for us gave us your name, phone number and email address so we could ask them about the applicant. We use it for that and nothing else, we don’t add you to any marketing, and you can ask us to delete it at any time by emailing info@finerfleet.com.
Who else sees it
We don’t sell personal information and we don’t share it for anyone else’s marketing. These companies handle it on our behalf so the service works:
| Company | What they do | Where |
|---|---|---|
| Supabase | Hosts the database and files | EU (Ireland) |
| Vercel | Hosts and serves the website | EU and US |
| Resend | Sends our email | EU and US |
| Stripe | Takes card payments | EU and US |
| Twilio | Sends booking text messages and WhatsApp messages | EU and US |
| Mapbox and Google Maps | Works out routes, distances and addresses | EU and US |
| Google Workspace | Our email accounts, and matching replies to your records | EU and US |
| TrueLayer | Matches bank transfers to invoices, where enabled | UK and EU |
| Anthropic | Summarises publicly available information about prospective business clients | US |
Where information goes outside the UK, it’s covered by the safeguards those companies have in place, such as the UK addendum to the EU standard contractual clauses.
We’ll also hand information over where the law requires it — for example to HMRC, the DVLA, an insurer handling a claim, or the police.
How long we keep it
- Invoices, payments and anything else with a tax consequence: 6 years after the end of the accounting period, as HMRC requires
- Enquiries that don't become work: To be confirmed by Finer Fleet
- Unsuccessful driver applications: To be confirmed by Finer Fleet
- Driver records after someone stops driving for us: To be confirmed by Finer Fleet
Cookies
We don’t use analytics, advertising pixels or session recording, so there’s nothing to opt out of. The only cookies we set are the ones that keep you signed in while you’re using the system.
Your rights
You can ask us to:
- Give you a copy of the information we hold about you
- Correct anything that's wrong
- Delete it, where we don't have to keep it
- Restrict or object to how we're using it
- Send it to you or someone else in a portable format
Email info@finerfleet.com and we’ll respond within one month. There’s no charge.
If you’re unhappy with how we’ve handled it you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d rather you came to us first so we can put it right.
Keeping it safe
Access is restricted to the people who need it for their job. Applications — including licence images and CVs — can be opened only by the people handling recruitment. Card details go straight to Stripe and never touch our systems. Everything travels over an encrypted connection.
